User instructions are step-by-step directions that tell a user how to assemble, operate, maintain or use a product or carry out a process safely. Steps in writing them:
- Analyse the audience and purpose – decide who the user is (novice/expert) and what task must be completed.
- Write a clear title – e.g. "Instructions for Operating a Microwave Oven".
- Introduction / general function – one or two sentences describing the purpose of the object or process.
- List materials, tools and prerequisites needed before starting (e.g. "You will need: a screwdriver, two AA batteries").
- Labelled diagram and description of parts – draw a neat labelled diagram and briefly describe the parts that the steps refer to.
- Write the steps in correct chronological order – number every step, one action per step, use the imperative style beginning with action verbs (Press, Insert, Click, Turn), short simple sentences and consistent terms.
- Insert special notices – Note, Caution, Warning or Danger placed before the step to which they apply, visually highlighted.
- Add the expected result / conclusion and troubleshooting – tell the user what should happen at the end and what to do if it does not.
- Test and revise – have a person unfamiliar with the task follow the instructions, then correct gaps, ambiguity and errors.
